PUBLICITY GUIDELINES AND SAMPLE PRESS RELEASE

Spread the good news! When you publicize a grant, the work your organization does in the community receives attention and you gain credibility by association with the grant review process.

CCF will also send press releases and publicize your name as a grantee in our newsletter, but the media is usually more interested in hearing directly from you about the people who benefit from your services. Please see the below press release template and a list of media contact information.

Coastal Community Foundation staff will help you:
    1. Brainstorm ideas for getting the word out about your grant.
    2. Review your news releases and other publicity materials.

  • How to list the grant:
    Please include an acknowledgement of Coastal Community Foundation’s funding of your project in all press releases, newsletters, and annual reports, as well as any additional promotional materials you deem appropriate. By doing so, you will help the community understand how CCF supports outstanding organizations in the region.
  • Submit your Press Release on your agency’s letterhead.
  • List our name in full when it first appears in the Press Release or story as – Coastal Community Foundation (CCF). All other mentions can be listed as – CCF.
  • If you received a grant from an individual fund of CCF, the letter you receive will specify the exact name of the fund. That name should be used in any recognition, e.g. “ Jane Doe Fund of Coastal Community Foundation.”
  • Send us Photographs:
    We encourage you to submit photographs to CCF that tell the story of how your grant project benefits the community for possible use in our newsletter, website or annual report. We will need a photo release form signed by everyone in the photograph. Should you need photo release forms, contact Christine Beddia, Marketing/Development Officer.
  • Put us on your PR Mailing list:We would appreciate receiving copies of news releases and newsletter articles that mention Coastal Community Foundation. Please send copies to: Coastal Community Foundation; 90 Mary Street; SC 2940. THANK YOU AND GOOD LUCK!

    SAMPLE PRESS RELEASE
    Please write out in full - COASTAL COMMUNITY FOUNDATION (CCF) when it first appears in the press release. From then on, you can refer to – CCF.

    News releases should be written simply, in “pyramid style,” that is, with the most important information first and working down from there. Don’t indent the paragraphs. Be sure to check for factual and typographical errors. Have another person help you proofread it before sending. Always double-space between paragraphs for better readability and to allow an editor to make notes.

    Remember there is no “The” in our name, just – Coastal Community Foundation.

City/Town name: [Your organization’s name] of [your community] has received a [$ amount] grant from Coastal Community Foundation (CCF) to fund [summarize general type of program/project, in one sentence].

[Your organization] is a nonprofit organization serving [geographic area] with [type of service you provide]. OPTIONAL: a brief sentence that summarizes the good you have done; for example: “Established in 19__, [the organization has helped hundreds of local women achieve economic stability through workforce training and job placement.]”

The CCF grant will be used to …[get more specific here about what your project entails, and how it will benefit the people your organization serves. Length could be anywhere from a couple of sentences up to a few paragraphs, but keep total news release length to two pages or less. If they need more info, send a fact sheet or other BRIEF background – a reporter will ask you if they need more.]

You could then include a quote here from your board chair or executive director, “saying why the funds will be so helpful and what they will allow you to accomplish.”
